General Information

Lead Retrieval:

Avatars can exchange business card and the delegate will receive a pop-up asking them if they would like to hand it over. In the analytics you will get an overview of how many business cards have been given, rejected and received. You do not automatically receive a business card once somebody comes to your booth.

All data that are in the profile will be exchanged including name, email address, organisation etc.

Tracking / Click analytics

Hyperfair provides the number of visitors for the entire environment. Total of visitors and unique visitors, per day and for all the duration of the event. With the average time spent in the platform, and listing of the connections.

All activities on the stand itself can be tracked and a statistics report is available and downloadable via the stand administration login.

Analytics for additional promotional banners are not available.

You could place a link to a survey as Survey Monkey on your booth e.g. behind a graphic. You cannot add a Totem to the template. You can book a totem and place it next to the booth or somewhere else in the hall as additional branding space.

You can do changes also during the event. The changes will be visible when the delegate logs out an in again, so we recommend to do the changes in the evening after the official opening times.

The platform opens on 17 Sept. 08:00 CEST for exhibitors for your stand briefings for all the contacts registered by the company for exhibitor badges.

On Sunday 20 Sept noon the platform opens for delegates. You can expect traffic then. 

The platform closes on Fr. 25 Sept. 15:00.

Yes, from Thursday 17 Sept. all companies will get access, so your stand will be visible then. Before that it will only be visible from distance when another company takes a guided tour to check their own stand together with Interplan.

No, if you wish that your content / brandings cannot be seen at all for other companies when they take a guided tour with interplan you need to take out all content and place placeholder instead and link the correct graphics and content at the very last moment before the platform opens.

However, the stand should be ready for final check by Interplan on 14 September at the latest.

For following areas you need to complete the profile first in the adminstrative login:

  • Contact details, chat and email function in information avatar
  • “Send email” in bulletin board”
  • Exhibitor list in maps
  • Searchability in Search Tool

The Logo and contact information are completed in the Profile of the the configuration login.

The text field in that information point can be added via the Content tab, see instructions.

For the logo we recommend using jpg . and 400 x 400px

The email field is populated via the profile . When someone clicks on the email the indvidual email software, e.g. Outlook, opens and the email address field will be populated with  the email of the profile.

On the top right corner of the info field you find three dots. When you click on it you will see more options which are:

The configuration login has an Avatar by itself with which the user manning this login can work on the stand and navigate with his, her own Avatar.

The gender can always be changes in the Hyperfair profile.

If they close the tab window and come back they start again from the starting point in the foyer. If they leave the Hyperfair tap open the Avatar stays at the position where they left it the last time.

No it is not. You have the possibility to not enter any information to the avatar, but he will not disappear.

The system takes these data from the profile editable in the administrator login

Interaction with delegates

There are two badge types:

Attendee – blue

Exhibitor – orange

First name, last name, Organisation / Company

There are two types of stand assistants. One is just a digital figure with an “i” on top serving as an info point.

In addition, the stand administrator can add real colleagues as company reps on the stand via the Dashboard “add assistant” button.

The administrator can add and delete stand assistants. The name badge of the Avatar will then have a different color to be identifiable as an exhibitor.

Attendees have blue badges, exhibitors have orange badges.

This means each company member registers first at the EASD Virtual Meeting, from there enters hyperfair and creates the hyperfair profile / avatar. Per default everyone gets there a namebadge of an attendee. The stand administrator than adds them to the stand making him / her an offical stand assistant.

Max allowed stand assistants:

Platinum and Gold templates: 10 assistants

Silver, Bronze and Basic templates: 1 assistant

 

The communication with an Avatar works with written chat or audio by clicking on the avatar and the corresponding symbol.

However, you can include a link to your video room (e.g. Zoom, Teams, Skype etc.) on your stand e.g. on a video screen or with a graphic and ask the other avatar that both of you click on it to meet up in that video conference room.

Others cannot see the chat. However, the initiator of the chat can invite other avatars to join and make it a group chat.

No, Hyperfair does not offer this function. Within the regular Virtual Meeting the lead retrieval function can be booked for the profile and for the sympos. There you can indeed have your own disclaimer.

Hyperfair only distinguishes between Attendees (blue badge) and Exhibitors (orange badge). All data in the profile of the avatar will be retrieved when business cards are exchanged, including the organisation if indicated in the profile.

There are only two badge types, exhibitors and attendees.

On each badge you can see the organization.

Every delegate conforms with the T&C that they are HCP when entering the Virtual Meeting for the first time.

No, you cannot be sure. There is just a disclaimer, but no real control. A draft of the disclaimer that has to be confirmed when entering Hyperfair you can find here.

The Avatar can click on the info point or bulletin board. There is an option to send an email via the regular email program the delegate uses.

There are various ways to interact:

  • Directly with your Avatar and the delegates Avatar
  • Via the Chat or send email function in the information Avatar
  • Via the “send email” function in the bulletin board.

Additional brandings and options in the 3D exhibition halls

Yes it is. We need the required square graphics, but you can use a transparent background so only the round floor graphic is visible.

It looks like a real meeting room, see sales brochure

It can be password secured

It has two graphic spaces that can be used

Inside the room the screen can be linked to your own VC Software as Zoom, Skype, GTM, Teams, Webex etc.

The max. capacity for Avatars being in the room (not in your VC Tool) is 20.

The Avatars inside can be seen from outside the room but not the identity behind the Avatar.

Thus it is a nice add on to complement your 3D booth and gives you the opportunity to invite and visiting delegate / Avatar to a 1:1 meeting or even use this room for expert meetings, product presentations etc.

Some of the brandings have fixed positions as e.g. the architectural banners BP01 – BP05.

Others can be placed wherever.

When you book the mobile banners we ask you to indicate your preferred position in the floorplan.

We will try to place as accurately following your instructions as possible.

However, we have to ensure that the positions are feasible and that the banners do not overshadow the surrounding booths in an unreasonable way. For that reason, we do retain the right to adjust the position but keep you informed if that should be the case.

Since a virtual meeting is a very agile and always evolving endeavor changes may always be possible.

Yes, but it will only be visible when the delegate logs out and in again, hence it makes sense to do those changes in the evening after the congress. If you change it during the event it may happen that the user will see only an empty white  graphic space , so we do not recommend it.

We allow this within the Diamond/Platinum exhibition package.

You can include links on posters graphics (not on wall graphics), in bulletin boards, in the products as URL, in the text behind the stand assistant as text but not as link. See opportunities and specifications in following brochure. The images that allow hyperlinks are marked with an asterix.

If you place a link  on a poster or banner and a participant clicks on it, a separate browser window will open overlaying approx. 75% the window underneath, see screenshot below. This new tab behaves like a normal browser window, meaning you can enlarge it and display it in full screen. You can also right-click on elements / menu items on the page and have the content open in a new tab. Then you automatically switch to the browser you used to log in. The window behaves like a normal browser window.

Hyperfair is using a realtime 3d platform, that means that light are similar to the real light behaviour. So, if you put a white cube in a room, the white cube appears as grey, if you put under the sun, it appears as full white, giving you a burn effect as technically called, this “burn” color create a bad visual effect first, in real life, to the human eyes, then in 3d environment.

Hyperfair covers all the light possibilities while designing a booth template, cause a booth could be placed outdoor under the sunlight either or inside a pavilion.

No, this is not possible. The templates are used generically for various events and if we change the structure of a template it would change all. We may develop in the future to make this structure feature also configurable as e.g. the floor and wall material.

No, this is not possible. If you do not fill in any content into these features they will automatically not be displayed.

Unlimited, it is like a flip book, not automated. One has to click through.

The slides cannot be hyperlinked.

The slides can be any size but we recommend to go for 1600×1200.

As soon as you load content up and edit content the brochure or product holder becomes active and visible. If you don’t use it at all, hence not upload anything it won’t be displayed.

The order is generated based on the upload sequence. So the first uploaded video will be shown first in the list

Video / audio files

The instructions of Hyperfair say that “The video should be either “public” or “unlisted” on YouTube, users will not be able to view the video if it is on “private”. You can also use 360° YouTube videos”

However, links to other platforms as e.g. Vimeo work also.

Links to videos on the company own server do not work!

Video links can be placed behind Poster graphics or in products or behind the video totems.

In that case you would add a video that carries only audio.

The order is generated based on the upload sequence. So the first uploaded video will be shown first in the list

We do not recommend this since it often causes problems.
